A complete guide to setting up the workspace, organizing the reporting hierarchy, running daily sales work, and getting help safely.
1. Getting started
From registration to a ready team workspace.
- 1Register the company, choose an active plan, and optionally validate a coupon.
- 2Use a unique 12–128 character password or a verified Google account.
- 3Complete Workspace settings: company identity, timezone, contact details, business category, address, theme, and logo.
- 4Invite employees and assign each person the narrowest role that matches their job.
- 5Confirm lead statuses, work hours, attendance method, assignment mode, KPIs, salary rules, ranking, and report preferences.
- 6Create or import leads, assign work, and review the dashboard before daily calling begins.
2. Roles and reporting hierarchy
Who manages whom, and what each role can see.
Managers supervise their direct reports. Telecallers work assigned records. Viewer is a separate read-only oversight role and is not a promotion above telecaller.
Company administrator
Reports to: Workspace owner / business leadership
Company profile, employees, lead operations, reports, attendance decisions, settings, plans, coupons, audit history, and support.
Manager
Reports to: Company administrator
Direct-report employees, assigned/team leads, assignment, team tasks and follow-ups, attendance, and team reports.
Telecaller
Reports to: Manager
Assigned leads, call outcomes, own tasks and follow-ups, recordings where allowed, and own attendance.
Viewer
Reports to: Company administrator
Read-only aggregate reports, redacted lead summaries, and attendance oversight without customer contact details.
3. Leads, assignment, calls, and campaigns
The daily lead lifecycle from intake to conversion.
Lead intake
Create one lead or import a validated CSV/XLSX file when the plan permits it.
Statuses
Use the shared pipeline such as New, Contacted, Follow-up, Interested, Converted, or custom company statuses.
Assignment
Assign manually or use eligible-team round robin. Managers remain limited to their team scope.
Calling
Open the lead, call, save the outcome, next follow-up, owner, notes, and product value together.
Recordings
Attach supported audio to a call log only when consent and workspace policy allow it.
Campaigns
Organize campaign/work-plan context from Tasks while historical source and report relationships remain intact.
4. Tasks, follow-ups, and reminders
Keep every promised next step visible.
- 1Create tasks for owners, managers, or assigned employees with a clear due date and work context.
- 2Create the next follow-up while the lead conversation is still fresh.
- 3Work overdue follow-ups first, then today, then upcoming.
- 4Complete tasks and follow-ups only after the real action is finished; the history remains available.
- 5Use reminders and the dashboard attention queue to catch at-risk work before it becomes overdue.
5. Attendance and work hours
Punch tracking, login-session tracking, and corrections.
Punch mode
Employees punch in and out from Attendance. Company administrators can make audited corrections.
Login-session mode
First sign-in records arrival and latest sign-out records departure; the minimum active-minute rule determines full or half day.
Regularization
An employee requests a correction for their own day. The company administrator approves or rejects it with an audit trail.
Reporting scope
Admins see the company; managers see direct reports; telecallers see themselves. Role boundaries remain server-enforced.
6. Dashboards, reports, salary, and ranking
Turn recorded work into useful decisions.
Dashboard
Review urgent follow-ups, lead movement, conversion, sources, assignments, attendance, and momentum.
Performance reports
Filter by date, employee, campaign, metric, and breakdown while role scope remains enforced.
Exports
Download supported data and graphical views as CSV, PNG, PDF, or Excel where the report offers them.
Salary plans
Company admins build transparent fixed, commission, hybrid, incentive, and deduction calculations. Previewing does not transfer payroll.
Ranking
Choose public, manager-only, or private visibility and define the performance metric weights.
Product value
Record expected lead value so revenue targets and conversion reporting reflect the actual pipeline.
7. Plans and coupons
Capacity, plan changes, and promotional pricing.
- 1Choose an active plan during registration; its note explains the intended use and limits.
- 2Open Settings → Plan & coupons to see the current monthly price, user capacity, lead capacity, and available alternatives.
- 3Request a plan change through Contact. Reix confirms the change so active-user limits and the audit history remain consistent.
- 4Enter a coupon during registration or in Plan & coupons. The server checks plan eligibility, dates, active state, total redemptions, and prior workspace use.
- 5A coupon cannot reduce a free plan, and only one coupon can be applied to the same plan for a workspace. The applied price snapshot remains recorded.
8. Workspace settings
The controls that shape the company workspace.
Workspace
Company name, legal identity, contact details, address, category, timezone, logo, and accent color.
Hierarchy
Team lead or supervisor structure and safe custom role labels mapped to the supported base roles.
Lead workflow
Duplicate handling, default status, manual/automatic assignment, KPIs, targets, and reminder timing.
Attendance
Punch or login-session mode, workday times, and active-minute qualification.
Compensation
Payroll model, fixed amount, commission, bonuses, and transparent salary-plan components.
Connections
Integration preferences may be recorded, but a real provider is enabled only after compliant connection and approval.
9. Passwords, security, and privacy
Protect accounts and keep company data inside its boundary.
- 1Use a unique passphrase of at least 12 characters for registration, reset, and administrator-created accounts.
- 2Use Forgot password for a one-time, time-limited reset link. A platform reset revokes the administrator’s existing sessions.
- 3Do not share passwords, reset links, exported customer lists, or recordings through unapproved channels.
- 4Permissions are checked by the API using the authenticated role and company ID; changing a URL cannot grant access.
- 5Exports and recordings should be limited to people with a business need and handled according to the company’s retention policy.
- 6Read the Privacy Policy for data categories, purposes, sharing, retention, rights, grievance contacts, cookies, and security controls.
10. Troubleshooting and support
The fastest route to the right kind of help.
Cannot sign in
Check the email, use Forgot password, and confirm the account is active. Google email must match the workspace account.
Cannot add a user or lead
Review current plan capacity and whether the role has the required permission.
Import failed
Use a supported file with recognized name and phone headers; correct the row-level errors shown by the importer.
Feature temporarily unavailable
A mixed deployment may briefly hide newer controls. Saved data remains intact; retry after the application update completes.
Workspace-specific issue
Company administrators should open Support inside the workspace so the conversation is verified and auditable.
Sales, service, or plan enquiry
Use Contact for a free consultation. Requests enter the platform consultation queue.
Frequently asked questions
Which login should my team use?
Everyone uses the main Login page. Reix Pulse identifies the account, opens the correct company workspace, and applies its role automatically.
Can I change my plan myself?
You can compare plans in Settings → Plan & coupons. A plan change is completed by the Reix team so capacity, active users, pricing, and the audit trail remain correct.
Why was my coupon rejected?
The code may be inactive, expired, limited to another plan, fully redeemed, already used by the workspace, or attached to a free plan.
How do I reset a forgotten password?
Choose Forgot password on the Login page and use the one-time link sent to the account email. New passwords must contain 12–128 characters.
Can support access my workspace?
Only through an explicit, audited platform-admin action. A visible banner remains present throughout that support session.
Are integrations automatically connected?
No. Provider-backed calling, messaging, payroll, advertising sync, AI, and scheduled delivery remain unavailable until an approved provider and data policy are configured.
Is company data isolated?
Yes. Tenant operations use the authenticated company ID. The workspace URL is for navigation and is never treated as authorization.
Where should I ask for account-specific help?
Company administrators should use Support inside the authenticated workspace. Sales and plan enquiries should use the public Contact page.
